Who we are
This website is run by South Wales Windscreens Limited (company number 16348254), 29 Conybeare Road, Sully, Penarth CF64 5TZ. We are the data controller for the personal information described in this policy. You can contact us at quote@southwaleswindscreens.co.uk or on 07769 707501.
What we collect
- Details you give us when you ask for a quote or book a job: your name, phone number, email address, the address or postcode where the vehicle will be, your vehicle registration, make and model, and photos of the damage.
- Insurance details, such as your insurer and policy number, if you ask us to deal with a claim.
- Messages you send us by phone, text, WhatsApp, email or the website form.
Our online quote form
When you use the quote form we collect:
- the type of damage, your vehicle registration and the postcode where the car will be, so we can price the job and check we cover your area;
- your name and phone number, so we can call you with the quote;
- your email address, if you choose to give it, so we can reply by email;
- a photo of the damage, if you choose to attach one, so we can judge whether a repair or a replacement is needed;
- anything you write in the message box.
The form sends these details to us by email at quote@southwaleswindscreens.co.uk. We don’t store them on the website itself. To protect the form from spam, the website keeps a scrambled (hashed) version of your IP address for up to one hour to limit repeated submissions. We use this information to take steps at your request before entering into a contract, and for our legitimate interest in keeping the form free of spam. We don’t send automatic marketing emails.
If you use “Find address” on the quote form, the postcode you type is sent from our website to our address lookup provider, Ideal Postcodes (IDDQD Limited), so it can return the matching addresses. They’re only used to fill in the form: the lookup doesn’t store your postcode or the addresses it returns. To stop misuse, it keeps a count of lookups and, for a short time, a scrambled (hashed) version of your IP address. The address you choose or type is sent to us with the rest of the form.
How we use it
- To give you a quote, arrange and carry out the work, and contact you about your job (to take steps at your request before entering into a contract, and to perform that contract).
- To deal with your insurer when you ask us to (to perform our contract with you).
- To keep business and accounting records (to comply with our legal obligations).
We do not sell your information, and we do not use it for marketing unless you have agreed to that.
Who we share it with
We share information only where needed to do the job: for example with your insurer when you ask us to make a claim, with glass suppliers (vehicle details only), and with service providers who help us run the business, such as our email and phone providers and accountant.
How long we keep it
We keep quote enquiries that do not go ahead only as long as needed to deal with them. We keep job and invoice records for as long as the law requires for tax and accounting purposes, and for as long as any guarantee on the work applies.
Cookies
We use Google Analytics and Google Ads cookies only if you accept them in the cookie banner. Google Analytics helps us understand how people use this website, and Google Ads cookies help us see whether our adverts lead to enquiries. Until you choose, and if you reject them, these tools aren’t loaded and no analytics or advertising cookies are set. Your choice is remembered in your browser, and you can change it at any time using “Cookie settings” at the bottom of every page.
If you use the postcode checker, your browser remembers the postcode for that browsing session only (using session storage) so the quote form can fill it in for you. It isn’t sent to us unless you submit the form.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, and to data portability. To make a request, contact us using the details above. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page.
